Car rental is a convenient and flexible option for travellers, providing the freedom to explore destinations at their own pace. However, navigating the terms and requirements associated with car rentals can be a complex task. Here are the intricacies of our car rental terms and requirements. These terms cover everything from booking procedures to understanding insurance options, ensuring a smooth and informed rental experience.
Booking Process:
**1. Reservation:
- Reserving a rental car typically involves selecting the desired vehicle type, specifying the rental period, and providing personal information. The personal Information we need is normally your Passport, Your driver license and your payment method. Our Online booking platforms facilitate a smooth reservation process. It’s advisable to make reservations in advance, especially during peak travel seasons, to secure preferred vehicle choices and competitive rates. Book your Car rental Vehicle now
**2. Confirmation:
- Once a reservation is made, We shall issue a confirmation that includes details such as the reservation number, pickup location, rental duration, and the reserved vehicle’s specifications. We also normally confirm your driver details and the form of identification he will use to locate you if you are in a busy place like airport. Review this confirmation carefully to ensure accuracy and retain it for reference during the pickup process. We normally send you a picture of your driver to eliminate insitances of jumping into the wrong car!
**3. Age Requirements:
- We at Techsys Autos have specific age requirements for renters. The minimum age to rent a car for self drive is 21 years. Car with a driver rental do not have any restrictions in this sense. We also demand that the renter has been in possession of their driver license for more than a year! If the renter is below the age of 21 or possess a permit newer than a year, we may decline your booking or may impose additional fees or restrictions. Talk to us before you book if you want self drive but under the terms above.
**4. Driving License:
- A valid driver’s license is a fundamental requirement for renting a car. Ensure that your driver’s license is not expired and is accepted in the country where you plan to drive the vehicle. International travelers may need an International Driving Permit (IDP) in addition to their home country’s license. We shall demand an original permit at car handover.
**5. Payment Information:
- We typically require a valid credit card for the reservation and payment process. The credit card should be in the renter’s name and have sufficient credit available for the security deposit (where applicable) and rental fees. We may accept Bank Transfers, Pay Pal, Western Union, Pay on arrival, or other methods but you should talk to us about your preferred payment option in time. There is a 5% transaction fee for card and Pay Pal payments.
**6. Security Deposit:
- We may require a security deposit, which is pre-authorized on the renter’s credit card or their payment method. The deposit amount varies but is generally equivalent to the estimated rental charges plus an additional amount for security. The Security deposit is refunded after the vehicle is returned in the agreed-upon condition.
Understanding Rental Terms:
**1. Rental Duration:
- The rental duration specifies the period for which the car is rented. Rentals are commonly classified into daily, weekly, or monthly durations. It’s essential to return the vehicle on time to avoid late fees, and extending the rental period may incur additional charges. If you are not sure of your return date, talk to us before booking so we reach a mutual agreement.
**2. Mileage Limits:
- Our Car rental agreements includes a daily (NOT AVERAGE) mileage limit of 400Km. This limit defines the maximum distance the vehicle can be driven within the (daily) rental period without incurring extra charges. Exceeding the specified mileage may result in additional fees. At an additional fee, we may offer unlimited mileage, providing flexibility for longer journeys. Talk to us if you need unlimited milage coverage.
**3. Fuel Policy:
- Techsys Autos implements various fuel policies. The most common policies include:
- Full-to-Full: The renter receives the vehicle with a full tank and must return it with a full tank.
- Full-to-Empty: The renter pays for a full tank upon pickup and returns the vehicle with any fuel level. No refund is provided for unused fuel.
- Pre-Purchase Fuel: The renter pays for a full tank of fuel at a set rate and returns the vehicle with any fuel level.
- Quarter -to Quarter: We may agree to deliver the car at quarter gauge level and receive it back at quarter! Where this is accepted, the renter will accept not to deliver the car below the mark accepted!
**4. Insurance Options:
- Understanding insurance options is crucial for comprehensive, partial or (barely) no insurance coverage during the rental period. Common insurance types include:
- Collision Damage Waiver (CDW): Covers damage to the rental vehicle. It may have an excess/deductible amount.
- Liability Insurance: Provides coverage for third-party injuries and property damage.
- Personal Accident Insurance (PAI): Offers coverage for medical expenses and accidental death benefits.
- Personal Effects Coverage: Protects personal belongings inside the rental vehicle.
**5. Additional Driver Fees:
- Techsys Autos’ agreements typically include one primary driver. Adding additional drivers may incur extra fees. If for example James is the designated driver, you are not allowed to allow anyone else drive the car over your rental period.
**6. One-Way Rentals:
- One-way rentals involve picking up the vehicle at one location and returning it to a different location. This convenience may incur additional fees, and availability. While we offer one way rental, you must let us know before or during your rental period. Please note that it wil most often attract extra fees.
**7. Cross-Border Travel:
- Traveling across international borders with a rental vehicle may have restrictions and additional fees. Check with the Techsys Autos regarding the possibility of cross-border travel and any associated requirements.
**8. Late Return Fees:
- Returning the vehicle after the agreed-upon time may result in late return fees. Be aware of the grace period provided by Techsys Autos and plan accordingly to avoid additional charges. We typically give a 1 and a half hour free late pick up time. We will charge you $2 per 20 minutes after the grace waiting time. If the pick up time exceeds 7PM as per your driving agreement, you will pay $50 per hour and incur 100% expense for accident registered after 7Pm.
**9. Vehicle Inspection:
- Before accepting the rental vehicle, conduct a thorough inspection. Document any existing damage, scratches, or issues on the rental agreement. If you are unsure demand for a checklist on your rental car. This documentation helps avoid disputes upon return.
**10. Cancellation Policies:
- This is our cancellation policy. Some reservations may be refundable, while others may have cancellation fees. We do not refund for midway cancellations. If you decide to cancel midway your travel, you will not get any refund. We will not be held responsible for early returns. Where the cancelation emanates from our inability to respond to your support call in less than 24hrs in Kampala and 8 hours outside Kampala, we shall refund 60% of the unused days. Note that the refundable fees arise from a mechanical you neither caused or never existed at the time of pick up. One day rentals are not refundable.
Pickup and Return Process:
**1. Check-In Process:
- Upon arrival to collect the rental vehicle, present your reservation confirmation, driver’s license, passport, and credit card for verification. We will provide the vehicle’s keys and may offer additional services such as GPS rental or child seats. Our handing in driver is obliged to breaf you on the dos and don’ts for the rental. You agree that if there is anything our driver leaves out and you don’t ask it will be on your express cost if found faulty at return!
**2. Vehicle Inspection:
- Before driving away, thoroughly inspect the vehicle for any damages not previously documented. Report any discrepancies to the rental agency to avoid being held responsible for pre-existing damage.
**3. Emergency Contact Information:
- Take note of emergency contact information provided by Techsys Autos. This information includes a helpline or assistance number to use in case of breakdowns, accidents, or emergencies during the rental period. Take note of the numbers at the bottom of our rental agreement.
**4. Return Process:
- Return the rental vehicle at the agreed-upon location and time. Ensure that the vehicle is in the same condition as when it was rented. A representative will inspect the vehicle, and if no issues are identified, the security deposit is refunded. Otherwise, a company mechanic will have to evaluate and determine the level of damage you have inflicted and its charge. You are free to engage your own mechanic if you feel ours is being realistic. Note that where ours disagrees with yours you will be liable to pay for a mutually agreed independent valuer.
**5. Post-Rental Charges:
- You are 100% responsible for any post-rental charges, such as EPS police fees, additional fuel charges, tolls, or fees related to damages or traffic violations. These charges are typically processed on the credit card provided during the reservation. In case of other payment methods, you agree to clear them before being released by your receiving driver.
